General Changes
IA Workflow
-
Professional Standards Suite (PSS) introduced a series of major enhancements to Internal Affairs (IA) and Complaints/Compliments workflows. We designed these updates to provide public safety admin staff and leaders with greater flexibility, improved routing accuracy, and better alignment with Action Reports.
-
Key achievements include the introduction of Approve/Return logic, the ability to send records back to authors for corrections, and highly configurable assignee routing options that allow for searching across the entire agency or specific pre-selected groups.
-
To take full advantage of these new features, the following permissions and configurations are required:
-
Manage Complaints Workflows: Allows administrators to configure the new "Approve/Return" action types and set up flexible routing rules.
-
Author Internal Complaint: Enables users to receive their submitted complaints back for edits if a reviewer requests corrections.
-
Review Assigned Complaints: Grants supervisors the ability to use the Return to Author action and select specific individuals for the next workflow step.
-
-
Configuring Send Back to Author for Corrections
-
Navigate to Admin > Workflows and open a Complaints/Compliments workflow.
-
Change the Action Type to Approve/Return.
-
For Step 1, locate the On Return drop-down menu and select Return to Author.
-
-
-
-
Note: This feature is automatically disabled for Public Portal complaints to protect citizen privacy, as they are not system users.
-
Setting Up Flexible Assignee Routing
-
In the workflow configuration for IA Cases or Complaints, locate the new header, Configure how a user can send this record.
-
Choose one of three options:
-
Select anyone from the agency upon submission: This provides a search box for the submitter to find any user in the agency.
-
Select individuals from pre-selected assignee types: This restricts the submitter's choices to specific roles or groups (e.g., "Primary Division Supervisors").
-
Do not allow a user to select specific individuals: This is the default setting, which automatically routes the record to all users in the assigned roles.
-
-
-
Managing the Needs Edits Lifecycle
-
When a reviewer selects Send Back to Author, the record status automatically changes to Needs Edits.
-
The author receives an email notification and can find the record in their Needs Attention dashboard bucket.
-
Once the author makes corrections and clicks Resubmit, the record returns to the reviewer who requested the changes.
-
All edits, status changes, and routing decisions are permanently captured in the Audit Log for full transparency.
-
-
-
Throughout PSS, the Gender, Race, and Ethnicity drop-down menus are now configurable Code Tables.
-
You now have the ability to configure the values in these drop-down menus to better align with your state’s expected values.
-
To take full advantage of this new feature, the following permissions and configurations are required:
-
View shared code tables
-
Edit shared code tables
-
-
If you have the correct permissions, navigate to the gear icon in the upper right of the screen, open Code Tables, scroll or filter to one of the code tables, and View or Edit the values.
-
Note: if you update the value of one of the Code Table Values, you will need to go to your User list in PSS and ensure it is updated correctly on the corresponding users.
-
-
Updated the User Profile in PSS to include a new Total years of service field:
-
As a default value for all existing PSS users, this field previously populated with Years of service at this agency.
-
This field will not automatically update over time.
-
The Years of service at this agency field is now a read-only field calculated from the Hire Date entered in the profile.
-
This field will now automatically update based on the Hire date field.
-
The Total years of service field is on user profiles to help agencies track the total years a user has worked in public safety, beyond their time at the current agency. This field will accept whole numbers only.
-
-
Updated a few labels on IA case reports to help better display the intent of the fields, but did not change any functionality.
-
The Summary section is now called Narrative. This field should contain the narrative of the entire case report
-
In the Activities section, the text box on each Activity is now called Activity notes. This field should contain any notes or details about the specific activity.
