General Changes

 

New workflow routing options for IA Cases

 

Admins can now configure how investigators send cases through workflow, matching the flexibility already available in Action Reports. A new "Configure how a user can send this case" section is available in workflow settings with three options.

  • Select anyone from the agency upon submission of case: The investigator can search and send to any person in the agency
  • Select individuals from pre-selected assignee types: The investigator can choose from a filtered list based on the assignee types selected by the admin
  • Do not allow a user to select specific individuals (default): The case automatically routes to the configured assignee types without user selection
  • Tool-tips are available on each option to explain the routing behavior
  • "Investigator" has been added to the Recipient type list for IA Case workflow notifications

 

New workflow routing options and Send Back to Author for Complaints/Compliments

 

Admins now have enhanced workflow configuration and the ability for reviewers to return records for corrections.

  • Send Individual configuration Same three routing options as IA Cases are now available when Workflow type = Complaints/Compliments 
    • Select anyone from the agency
    • Select individuals from pre-selected assignee types
    • Do not allow a user to select specific individuals
  • New Assignee types Author's direct supervisor, Author's primary division supervisor(s), Author's primary group supervisor(s), and Author's primary team supervisor(s) are now available
  • New Recipient types Author and Author's supervisor roles can now receive workflow notifications
  • Send Back to Author Reviewers can return a complaint or compliment to the original author for corrections. When returned:
    • The record status changes to "Needs edits"
    • The author is notified that corrections are requested
    • The author can edit and resubmit, at which point the record automatically returns to the reviewer
    • All changes are tracked in the audit log
    • Public Complaint/Compliment handling
      • Author-related assignee types and the Return option are not available for Public Portal complaints/compliments since the author is not a system user. A separate assignee type dropdown is provided for Public Complaint/Compliment workflows.
  • Tool-tips explain these distinctions within the workflow configuration screen

 

Include Workflow History in Printout


When printing an IA Case Report, a Compliment, or a Complaint, you can now choose to include the Workflow History in the printout. 

  • To use this feature, on the printing slide-out panel that appears after choosing Print, check the new Include Workflow History box at the top before printing. 

 

Appendix: Bugs Resolved

 

  • The printout of the Subject Notification Template will better reflect the desired layout of the template when configured in Settings. 
  • Resolved issues in IA Cases, Compliments, and Complaints where text is being cut off on the printouts.
  • Issues were resolved where some IA Cases, Compliments, and Complaints could not progress through the workflow.
