New and Enhanced Features
AI Writing Assistant for PHS Findings & Notes
Investigators spend a significant portion of their day manually drafting, rephrasing, and standardizing written content, which often duplicates effort and risks inconsistencies in tone or completeness.
The AI Writing Assistant for PHS Findings and Notes helps you work more efficiently without changing your investigative judgment or ownership of the case file. By providing instant drafting assistance and rewriting support right where you type, Vetted helps you clear out administrative writing fatigue, elevate report consistency, and accelerate your time to file completion—all while keeping you in absolute control of the final narrative.
How it Works
We integrated the AI Writing Assistant directly into your existing recording workflow:
-
Access PHS Findings or Notes: Open any PHS Module and click into the Findings or Notes text box.
-
Input Your Raw Draft: Type or paste your rough notes, bulleted interview highlights, or raw observations.
-
Launch the Assistant: Highlight your text and click the AI Writing Assistant icon located within the text editor toolbar.
-
Choose Your Action: Select from a list of tailored refinement options:
-
Professionalize: Transform shorthand notes or quick dictations into a formal, executive-ready narrative.
-
Summarize: Instantly condense lengthy reference statements or historical background records.
-
Standardize: Ensure formatting, capitalization, and structural tone align perfectly with defensible report standards.
-
-
Review and Insert: Read the AI-generated suggestion. You can choose to replace your text, insert it alongside your draft, or close the tool to make manual edits. No content is saved to the record until you review and approve it.
Value
-
Reduces Administrative Burden: Frees up hours of tedious writing, rephrasing, and editing, allowing investigators to focus their energy on active field tracking and verification.
-
Guarantees Legally Defensible Tone: Helps maintain an objective, consistent, and highly professional voice across all investigative sections and summaries.
-
Zero Loss of Investigative Autonomy: The AI acts strictly as an assistant; the investigator remains the sole author and owner of the final findings, maintaining full human oversight.
-
Prevents Duplicated Effort: Standardizes repetitive phrases or routine disclosures without requiring investigators to copy-paste from external templates.

Example
-
Standardizing a Reference Interview: An investigator conducts a rapid-fire phone interview with a neighbor and types raw bulleted points into the PHS Notes box (e.g., "says applicant is good guy, quiet, lived there 3 yrs, no issues, plays loud music occasionally but always turns it down"). The investigator highlights the text, clicks Professionalize, and the AI assistant instantly replaces it with a clean, defensible summary: "The neighbor verified the applicant has resided at the address for three years, describing them as quiet and cooperative, with no notable negative behavioral patterns reported."

Required Action Items for Investigator and Applicant Checklists
Ensuring absolute compliance and complete file validation just became significantly more structured. Previously, the completion of action items was merely implied, meaning files could accidentally move forward with missing information. Admins can now explicitly mark checklist action items as required. This update provides definitive guardrails that protect the background pipeline, ensuring files are totally complete before they can ever be submitted for formal review.
How it Works
The mandatory checklist engine enforces complete tracking data entries across your background files:
-
Configure Required States: Admins navigating to Settings > Checklist Configuration can now mark individual action items as Required or Optional.
-
Backward-Compatible Default State: To ensure zero disruption to your existing configurations, all new and existing checklist items default to Optional unless explicitly modified by an Admin.
-
Clear Visual Indicators: Any mandatory row dynamically displays a red asterisk (*) on the investigator and applicant interfaces.
-
Completion Validation: To satisfy a required item, an Investigator must populate both the Completed checkmark and provide a value in the Result column. Once checked, the Date Completed auto-populates as normal, retaining full user override edit permissions.
Note: Supplementary fields like Documents Uploaded and Notes are not required to clear the validation check.
-
Approval Workflow Enforcement: If an Investigator attempts to trigger the Submit for Approval Workflow Wizard while required action items are empty, Vetted will block the wizard progression, show an explicit error block, and identify exactly which required checklist items are incomplete.
Value
-
Compliance Insurance: Eliminates guesswork by providing concrete systemic rules that guarantee mandated state or local agency verification blocks are fully answered.
-
Accelerated Approval Cycles: Prevents file kickbacks or workflow denials from command staff by verifying that background documentation is 100% complete before submission.
-
Seamless Backward Compatibility: Legacy cases in progress remain completely unimpacted, allowing teams to adopt mandatory tracking items on their own timeline.
-
Frictionless Audit Readiness: Simplifies compliance reporting by allowing administrators to rapidly extract logs of active applicant files with pending mandatory criteria.
