Smarter Submissions, Cleaner Configurations
This release focuses on giving agencies more control, clarity, and responsiveness across the applicant and reference experience. From mobile-friendly webforms to smarter notifications and configurable document rules, these updates are designed to eliminate friction and keep investigations moving forward, fast and efficiently.
Here’s what’s new:
- Ensure references complete key questions before submitting.
- A seamless experience for references on phones and tablets.
- Automatic emails are sent when applicants complete their Personal History Statement (PHS).
- Birth certificates and passports can now be optional.

Required Questions on Correspondence Questionnaires
Incomplete reference feedback is a thing of the past. You can now mark individual questions on any correspondence questionnaire as required, ensuring that references cannot submit a webform without answering the most critical items.
This update brings question-level validation to correspondence questionnaires, just like what you’re used to in the PHS setup. Admins can now control which questions must be answered, reducing investigative delays caused by vague or missing information.

Examples
A department wants to make sure every employment reference answers the question, “Would you rehire this person?” The Admin now sets this question as required when configuring the Employment Reference Questionnaire. When the reference attempts to submit the form, they will receive a prompt if the required question is left blank.

With this update, we’ve refined each step of the webform mobile experience—from entering the code to signing and submitting—to ensure smoother navigation and a cleaner layout across all screen sizes.

Email Notification Sent When Applicant Submits PHS
Never miss a completed PHS again! With this release, Vetted now automatically sends email notifications the moment an applicant completes their Personal History Statement (PHS). This enhancement ensures that a real-time alert is delivered to the right person, based on whether an investigator has already been assigned, streamlining investigative workflows and speeding up the time-to-review process.

Examples
Scenario 1: An applicant completes their PHS for “Police Officer - Lateral.” Investigator Smith is already assigned to the case. The moment the applicant hits "Submit," Smith receives an email.
Scenario 2: An applicant submits their PHS, but no investigator has been assigned yet. The Admin designated to receive agency messages gets the same notification, helping them triage and assign appropriately.
Supporting Documents | Remove Default Requirement on Birth Cert and Passport
We’ve updated our default PHS setup to better align with agency flexibility and legal variation across jurisdictions. Going forward, Birth Certificate and Passport will no longer be marked as “required” by default in the Supporting Documents section of the Personal History Statement (PHS).
Agencies can still choose to make these documents required, but we’re putting that control entirely in your hands. This update ensures that Vetted’s default configuration does not impose document requirements that conflict with local policies, union contracts, or state laws.
