Contacts | Option to Exclude from Nationwide List

 

With this release, we are giving agencies more control over their data sharing. Admins and Investigators can now decide whether an agency-added contact should be shared with the Nationwide Contact List or kept strictly for internal use. This ensures that while we continue to build a powerful shared network, agencies can protect the privacy of specific local contacts when necessary.

 

How it Works

  • Default Sharing: By default, new agency-added contacts are included in the nationwide list to foster collaboration across the Vetted community.
  • Exclude Option: When creating or editing a contact, authorized users will see a new toggle or checkbox to exclude the contact from the nationwide list.
  • Internal Visibility: Contacts marked as "Excluded" remain fully searchable and visible to users within your agency but will never appear in search results for outside agencies.
  • Permission Based: This capability is restricted to users with modify rights for the Contacts page.

Value

This enhancement adds a critical layer of data privacy and local control. Agencies can store sensitive or locally-specific contact information without it appearing in nationwide lookups, suggestions, or matching results. This reduces "data noise" for others while maintaining a robust internal database for your team.

Examples

  • Scenario 1: An investigator adds a local contact as a reference but knows this individual only wants to assist their specific local department needs. The investigator marks the Do Not Include in Nationwide List field. 
  • Scenario 2: An Admin reviews their agency’s contact list and identifies several entries to update. While updating, they set a few contacts to Internal Only (by marking the Do Not Include in Nationwide List field) to keep the Nationwide list clean and high-quality for other Vetted users.

General Changes

 

Cleaning Up Labels for Admin Review / Final Report

 

To ensure a consistent experience for all users—regardless of their role—we have standardized the terminology used during the final stages of an investigation. Previously, various screens used a mix of "Final Report", "Final Report Approval", and "Admin Review." These have all been consolidated to Admin Review to match the applicant and investigator grids, reducing confusion during the approval workflow.

Example: When an Admin navigates to the Workflow configuration or checks the Approvals tab container, they will now see the label Admin Review instead of "Final Report Approval" or "Final Report."

CA POST | New Date Picker

 

To align with CA POST requirements and reduce applicant friction, we have introduced a specialized date picker for California POST Personal History Statements (Peace Officer and Dispatcher). Applicants are no longer required to provide a specific day (DD) for marriage, residence, or employment history; providing the month and year (MM/YYYY) is now sufficient.


CA POST | Update Wording for Drug-Related Questions

 

To provide better clarity for applicants and ensure compliance with updated regulations regarding cannabis use, we have updated the phrasing of the drug-related inquiry in the Legal section of the CA POST Personal History Statement. The question now explicitly lists the activities in scope upfront, ensuring applicants understand the full context before providing a response.
