Unique Applicant Identifier Auto-Generation

Managing high volumes of applicants just got a lot easier! Vetted now automatically generates a Unique Applicant Identifier the moment an applicant is invited to the system.

Previously, users often had to manually trigger the generation of an ID within the Applicant Details page. By automating this back-end process, we’ve eliminated that manual step and ensured that every single record—whether new or existing—has a stable, permanent ID to distinguish it from others, even if applicants share similar or identical names.

Value

  • Eliminates Manual Tasks: No more navigating to individual files to click "Generate"; the system handles it for you instantly.
  • Retroactive Coverage for Existing Records: To ensure your entire database meets the new standard, unique identifiers are now generated on-read for all existing applicants. This means the moment you access an older profile, Vetted automatically assigns and saves a unique ID, bringing your historical data up to date instantly.
  • Streamline High-Volume Onboarding: Whether you are sending a single invite, performing a bulk CSV upload of 100+ recruits, or pulling candidates directly from the Screen Applicants tab (for Insight-integrated agencies), the system instantly assigns a unique ID without extra clicks.

Audience

  • Admins
  • Investigators
  • Reviewers

Examples

  • High-Volume Recruiting: An agency invites three different applicants named "John Smith" in one week. The system automatically assigns each a unique ID at the moment of invitation, allowing the Investigator to track them accurately in the "My Investigations" grid without opening each file.

Items Removed because of this enhancement:

To further simplify your workflow and declutter the interface the Generate button has been removed from the Applicant Information screen as IDs are now created by the system upon invitation.

Unread Message Count in Sub-Navigation

We’ve introduced a real-time Unread Message Count directly in the sub-navigation bar. This enhancement ensures that when  you are reviewing your dashboard, you have an at-a-glance view of pending communications requiring your attention.

How it Works

  • Dynamic Navigation Badging: We have added a numerical badge to the Messages link in the sub-navigation bar that reflects your current unread message count.

Example: If you have two unread applicant messages and one unread department message, a "3" will be displayed in a badge next to the word Messages.

  • Automatic Count Recalculation: The unread count will automatically hide or update to "0" the moment all messages in your inbox are marked as read.

Example: After using the Mark all as read feature in your inbox, the navigation badge will instantly disappear, confirming your inbox is clear.

Value

  • Enhanced Visibility: Stay on top of urgent communications with a persistent unread count visible on every page.
  • Reduced Friction: Eliminates the need for "click-checking" your inbox, saving time and reducing navigation fatigue.
  • Real-Time Updates: The count updates in near real-time as messages are received or marked as read, ensuring you always have the most accurate information.
  • Role-Based Accuracy: Your count is unique to you—it only includes messages you have permission to view, keeping your workspace clean and relevant.

Audience

  • Admins
  • Investigators
  • Reviewers
  • Custom Roles

Examples

  • Instant Notification: An Investigator is currently documenting a field interview in Vetted. An applicant sends a clarifying message regarding their employment history; a badge immediately appears next to Messages, allowing the Investigator to pivot and respond without delay.
  • Efficient Triage: An Admin logs in and immediately sees a "5" next to their Messages tab. They can quickly prioritize clearing those communications before starting their daily audit of pending invitations.

Items Removed because of this enhancement: None

General Changes

Update to ‘PHS Accepted’ Status Workflow

We have refined the PHS Accepted status to ensure it is used correctly within your investigative workflow. Previously, selecting this status did not trigger a PHS submission, leading to confusion about whether an applicant’s file was actually complete.

To improve clarity and prevent process errors, the PHS Accepted status is now hidden from the status dropdown until the applicant has officially submitted their PHS. This change ensures investigators don't prematurely "accept" a PHS that hasn't been submitted or validated by the system. Additionally, we have added a guided info box to remind users of the proper sequence.

Note: This status should only be selected after the applicant has submitted their Personal History Statement (PHS). This status DOES NOT submit the PHS for the applicant. Select 'PHS Accepted' only after reviewing the submitted PHS.
