I am curious to know if everyone has the same issues or if they are different. What either holds you back from getting your assessment completed or prevents you from doing it quicker than you would like to?

Waiting for others to provide the proofs I need and can’t get myself!!!

Waiting for others to provide the proofs I need and can’t get myself!!!

I can totally understand that especially if you are not any kind of boss. Is it possible to either assign tasks within your assessment with deadlines then schedule the tasks information to be automatically sent to the bosses so you aren’t put in the position of being a “tattle tale”?

I’ve tried everything I’ve been told to try. Right now I keep up a SharePoint site with who owes me what and when it WAS due along with examples of previous years of Time Sensitive proofs and a folder with all my current proofs (which I have to download from where they upload them so I can put them into PDMS because you can’t do that directly from SharePoint) then upload them to show the final version (for transparency). I have a contact person (manager, AD or Director and they all have access to the full assessment) in each division who is supposed to collect the items for me and upload them and they all have access to what everyone does (or doesn’t do). I have a cute little graphic of a grocery cart full of ‘proof’ signs that I am filling as I do get proofs (and a cute little cheerleader), with a time sensitive list for when everything was due and which ones I haver received, and a countdown to the deadline to get the proofs to me. I also have my tracking spreadsheet there so everyone can see how many are In Compliance, In Progress, or that I’m waiting for proofs (by each individual bullet) from specific people. I attach my emails to the cells of the standards and/or the bullets so they can all see what I have sent to each person and what responses I get back. And, if they just reply and send me the proof by email, then I upload it to the appropriate SharePoint folder, download it to my files, then combine, redact, etc. so it’s a finished proof, post it back to the site in it’s finished version, upload it to the assessment, and mark it on the Excel Spreadsheet as In Compliance. We also have somewhat regular meetings with the directors and all my contacts to discuss what I still need and see if they have any questions (plus I have individual conversations with them and give some of them specific lists of the exact items I need with the dates it should cover). It’s very transparent and no question about who has provided what and who hasn’t. But I am open to suggestions.  :)

Isn’t it absolutely crazy all AMs go through and the amount of time and effort spent trying to get people to do what they are supposed to?

If you have any interest in setting up tasks and schedules I added some links to info. In the meantime I will think on some other options.

Know your job is so important and while they may not know it, without you, quite often your TCs/Officers/Employees/All of them would not know or have proper policy and procedure.

no one else has had a struggle?? let’s hear it folks! what are your struggles getting your assessment completed?

Too many people working on it.

Too many people working on it.

oh that is a good one. Is this a requirement that all of these people work on it? or is this something you can bring to the attention of your supervisor(s)? Maybe with making the points of not everyone is following best practices or labeling properly and that just creates more work for you?

@TheStephErb Our administration prides itself in everyone being a part and having a say in everything (or so it seems).  It many ways, that’s good approach, but it sure slows things down.
