I am looking to start a new Power DMS assessment cycle for Dec 24-Nove 27. How do I do that?

You’ll have to create a new assessment and archive the old one.  Then you can copy all of your attachments (written directives and proofs) in bulk over to your new assessment.

 


To add to the what the Lt said, depending on the number of assessment licenses your agencies has, you may only be able to have one assessment active at a time. That would mean you would need to archive, then create a new one.

Then, as for copying attachments over, that is a HUGE time saver because it brings over all the labeling and highlighting too! Just make sure you don’t update the standards manual in the new assessment if one is available, until after you’ve copied everything over. The copy feature is only available when both the assessments are on the same standards manual version.

I’m also in the process of beginning our new reaccreditation cycle. 

We’ve already created our new assessment, but have selected a newer edition of the standards manual than we used in our previous assessment.  I’ve not yet begun copying over the attachments. 

Is there a way to re-select the earlier version of the standards manual on our new assessment so that both assessments match, allowing us to copy over attachments?  Or will I need create yet another new assessment with the earlier version of the standards manual, copy over attachments, then update the standards manual to the latest version?

What happens if I copy attachments to an assessment using a newer version of the standards manual if no other work has begun?

You will go to the archived assessment, then go to the attachments tab or the tasks tab if you would like, select the attachments/tasks you want to move over to your now open assessment, click on select action, and copy attachments. now what will happen since you now have open a newer version of the manual as your new assessment will really depend on the amount of changes made between manuals. So make sure you are aware of what standards have possibly moved. So a quick comparison prior to copying over can be very helpful.

I just saw your follow up question. If you already created a new assessment and updated the manual, you CANNOT copy from your previous assessment. You will need to archive the new one and start the process again: Create new (keep on same manual as previous assessment), copy attachments, then update manual in new on after you confirm all attachments carried over. I was able to successfully copy attachments between the “mismatched” assessments.  I used StephErb’s instructions to compare the two versions of the standards manuals, noting any changes in numbering and bulleting in the updated manual.  I then copied over attachments selectively, in smaller batches.  For sections with changed numbering or bulleting, I uploaded new attachments instead of copying them over from the previous assessment.  This was because the copy feature transfers attachments only to matching standard numbers between the two assessments, and in some cases those had been renumbered with the updated standards manual.  Great thread -- thank you!
