Changes to the Standard I-9 Form

 

This section includes changes to the Federal Form I-9 (Standard I-9) in NEOGOV. 

 

Federal Form I-9 with January 20th, 2025 Edition Date

 

This release supports the most recent version of the Federal Form I-9. This update is minor, and all versions of the I-9 with an expiration date of May 31st, 2027, are still valid.

 

 

The key update in this version of the Federal Form I-9 is that choice 4's label under Section 1. Employee Information and Attestation - Citizenship Status is changing from “A noncitizen authorized to work” to  "An alien authorized to work".

When this form version is published on May 8th, you can expect the standard form versioning effects to occur in your Onboard system. This means that:

  • Completed forms of the prior version will be archived (saved as read-only). Pending, current, and hidden tasks related to those forms will be canceled.
  • In-progress forms will be archived. Pending, current, and hidden tasks related to those forms will be canceled. We will reassign any tasks that are cancelled due to in-progress forms being archived.
  • Incomplete I-9 forms will be replaced with the new Standard I-9 form (the 2025 I-9 version), and all tasks related to those forms will be redirected to the new version.
  • Checklist items related to the old Standard I-9 forms will be updated with the new version. Every newly generated task from the checklist will utilize the 2025 version of the I-9.
  • Any form permissions or workflow changes will be copied to the newest version of the I-9.

Moving forward, the old version of the I-9 will be referred to as the 2023 I-9 v2 for reporting and viewing in the Form Builder. The current version of the I-9 will display as the 2025 I-9 Form.

Fields No Longer Required

 

Previously, the Middle Initial, Other Last Names Used, and Apt. Number fields were required on the Standard I-9 form. Employees who didn’t have these were expected to write N/A as their response. Moving forward, this will no longer be necessary. Onboard will follow the current Federal Form I-9 instructions, and these fields should only be completed if they apply to the employee. Additionally, the Middle Initial field will only accept one character.

 

Value

The system will be up to date with the current recommendations from USCIS. Additionally, employees will no longer be able to submit multiple middle initials, which resulted in many problem cases for customers utilizing the E-Verify integration.

When rehiring a terminated employee from Insight, the employee retained their past security role rather than being rehired with the regular employee/manager security role.
