Approval Workflows: Advance to the Next Step

 

Like PowerDMS, you can now seamlessly advance workflows to the next step, enhancing efficiency in your processes. In the Approval Log, when viewing a workflow, the system will inform you how long it has been since the last action was taken. Click to advance, add a comment, and your workflow will move to the next level. We understand things happen, and sometimes a workflow stalls. In cases where it is acceptable to push it through, now you can. A comment is required by the Admin to ensure transparency and compliance.

 

 

 

Approval Log: New Status Column (Inactive, In-progress, Completed) and Filtering


We have updated the Approval Log with a new Status column that displays Inactive, In-progress, or Completed statuses. You can also filter approvals based on these statuses to better track them. The grid defaults to showing only In-progress workflows when accessing the approval log.
 

 

Screen Applicants Page: Added More Filtering Options

 

Find your ideal candidate faster! The Screen Applicants page now offers new filtering options, allowing you to sort and manage applicants more effectively when determining who to invite. These options include education, locations, keyword searches, position titles, skills, certifications, and languages. 

The following image shows an example of the ideal candidate for the role. We located this candidate when we selected Bachelor’s, and then we added the keywords officer and detention.

 

 

Disqualification Reasons in the Final Report

 

The Final Report now includes disqualification reasons, providing clearer insights into candidate eliminations. When sending Disqualifications through a workflow, log the reasons first, enable the workflow and generate the Final Report. This will ensure that your comments about disqualification and reasons are included.

 

 

Custom PHS Questions: Add Single Select, Multi-select, or Date Field Questions

 

You can add custom single-select and multi-select questions to the Personal History Statement (PHS) for more tailored data collection. When adding custom questions to any PHS form, select one of these options from the Input Type drop-down field, configure the number of response options, and whether or not the question is required. 


 

 

Correspondence: Investigators can Add Agency Email for Local Records Checks

 

The national public safety contact information database doesn’t include email addresses for records divisions. Investigators can now manually enter agency email addresses for local records checks, streamlining communication within Correspondence. Similar to sending email correspondence to PHS Identified Contact, when sending to an agency for local records checks, the system will package the correspondence letter (as the email) and include a security code for the recipient to access the signed waiver and questionnaire. Once completed and submitted, Investigators are notified via email and can find the response under the Web Form Response sub-tab.

 

 

 

 

 

Investigator Summary Updates


We've made updates to the Investigator Summary, improving usability and the display of information for investigators. Once an Investigative Summary Template has been selected, the Investigator will be prompted with a confirmation message before changing to a different template. This will ensure vital work and updates to the originally selected template are not easily lost or written over.

 

 

Custom Approval Workflows: Change from PHS Level to Job Level

 

Approval process configurations have shifted from the PHS level to the Job level, allowing for more granular control over approvals by job. This ensures that workflows take the right approval path even when changing the linked relationship between PHS and Jobs.

 

New Status: Did Not Complete PHS

 

We've added a new Did Not Complete PHS status to help you manage incomplete applications more effectively. Previously, applicants who didn't finish the Personal History Statement (PHS) remained at their last achieved status (for example, Waivers Completed), which reflected exactly where they stopped. The new status allows agencies that prefer to group all incomplete applications to easily identify applicants who started but did not fully complete the PHS, regardless of where they left off. If you prefer detailed status tracking, you can continue using the existing statuses to see precisely where each applicant stopped. This addition provides flexibility in monitoring and managing incomplete applications, whether by granular detail or grouping them.

 

Applicant: Reusing Uploaded Documents for New PHS Submissions

 

When an applicant submits a Personal History Statement (PHS), previously uploaded documents can be seamlessly transferred when completing a new PHS based on their existing one. This enhancement speeds up the process and reduces the number of documents applicants must upload.

 

PHS: Expanded Social Media Questions

 

We have enhanced the default Social Media module with additional questions to better support our integration with our social media and online presence reporting vendor. Applicants will now provide more structured and detailed social media data by default.

 

Revert To Original in Waivers, Correspondence, and Questionnaires

 

Admin will now see a Revert to Original link when configuring waivers, correspondence, and questionnaires. Whenever changes have been made and saved, Admins will see a Draft signifying this version has not been published and the ability to easily revert the form to the current published version.

 

 

Phone Correspondence: Add to Final Report

 

When generating a Final Report, Investigators can now add Phone Correspondences.

 

 

Admin Settings Updates

 

  • Give Event Log Access to InvestigatorsAdmins can grant investigators access to the Event Log, enhancing transparency and audit capabilities. To do so, add each Investigator's name to the field in the General tab of Settings.
  • Applicant Profile Picture: Enable/Disable Requirement: Admins can now choose to enable or disable the requirement for applicants to upload profile pictures during the onboarding process. 
  • Hide Screen Applicants Tab: In department settings, you can now hide the Screen Applicants tab, customizing the interface to suit your needs. This toggle is enabled by default and disabled for agencies integrating with Insight. This will help clean up the navigation tabs for agencies without Insight integration so they do not need to see this tab.
