New and Enhanced
Flag Webform Responses from References Based on Keywords/Phrases
Automatically flag responses in reference webforms that contain specific keywords or phrases to streamline review. Admin can configure the list of keywords in department settings. The results will display to the investigator under each specific webform response where detected.
Update Approval Log with Grid View and Search/Sort Capabilities
Enhanced the approval log with a grid view and new search/sort functionalities for easier navigation and review.
PHS Comparison Report Enhancements
Enabled the comparison report for Personal History Statements (PHS), allowing for more detailed and efficient evaluations of applicant responses across multiple PHSs. The investigator will be able to compare the current applicant PHS for the assigned applicant against up to four previously submitted PHSs. The comparison report will generate a PDF that is accessible by the Investigator in Documents tab.
Admin Event Log Updates
Added new features to the admin event log for better tracking of key actions and activities within the system.
Select Specific Checklist Items, Notes, and Documents When Generating Final Report
Users can now select specific Investigator or Applicant Checklist items, notes, or documents to include when generating the final background investigation report. Previous behavior was ‘all or nothing’ but now the Investigator can now more granularly select which items to include.
Conditional Offer Workflow Added
Introduced a new workflow specifically for managing conditional offer approvals during the applicant background investigation process. This workflow can be configured the same as the others with up to 10 levels with up to 10 reviewers in each level.
Search Law Enforcement Records by Any Zip Code
Users can now search for law enforcement records correspondence using any zip code for more flexible searching. When accessing the Law Enforcement Correspondence page and adding a mileage range for search, the system will default to searching the applicant’s residential zip code. However, the added zip code box will override the residential zip code and allow Investigators to search any zip code.
Applicant Profile: Status Pill Added
A status pill has been added to the applicant profile, giving a quick visual indicator of the current application status.
Manually Add Reference Responses (via Phone)
Added the ability to manually input reference responses collected via phone directly into the system. Investigators can access the Phone Correspondence page in each applicant’s profile under the Correspondence tab.
Unarchive Screening Applicants in Insight
For agencies that have an Insight integration, Vetted Admins can now unarchive applicants on the screening page.
Edit Dates in Checklist
Checklist dates can now be edited, providing greater flexibility and accuracy when investigators are logging when checklist items were actually completed. We know you are busy and at times will be playing ‘catch up’. Now you can mark items completed and then correct the date/time to when the check was actually done, whether yesterday, last week, or last month.
Opt-Out of Base PHS
Admins now have the option to opt-out of allowing applicants to complete a second or subsequent PHS from previous PHS data, thus requiring the applicant to completely fill out the PHS from scratch. This is an ‘opt out’ feature because the default setting will allow the applicant to complete a second or subsequent PHS from a previously submitted version to ease the applicant burden and increase PHS completions across the board. When completing a second or subsequent PHS, applicants will have to acknowledge that they understand this is a requirement of the agency and not NEOGOV.
