E-Verify Update - Issue Regarding Cases for Noncitizens Authorized to Work Resolved

Hi Onboarders!We are pleased to announce that the issue regarding initiating cases for noncitizens authorized to work has been resolved as of this morning. The root cause of this issue was that E-Verify made changes to their integration without giving their integration partners advance notice. Our team has updated our code and now you should be able to initiate cases for noncitizens. To be transparent, we still have an issue initiating cases when a noncitizen submits a foreign passport as their document of choice in Section 1. We are working to resolve this as well and in the meantime, noncitizens authorized to work should provide their USCIS/A Number or I94 Admission Number in Section 1 until further notice.Additionally, it is also now possible to select records and use the "Bulk Actions" option on the E-Verify Dashboard to export the data on the E-Verify List. You can also add the new "Case Eligibility" and "Reason for Closure" columns to your list view to display more information on

2024 Version of the Federal W4 Form

Hello!The 2024 version of the Federal W4 form is now available on the IRS website. The changes to the W4 are mostly cosmetic, with some minor updates to text and tax brackets. There were no new fields or questions added to the new form.Our team is currently assessing the work required to update the form and we will have more information regarding the timeline of the form later this week. 2024 W4 Release Dates

2024 W4 Release DatesHello!Last week, we made an announcement regarding the availability of the 2024 Federal W4 form on the IRS website. There are no notable changes on the new form besides some text and the tax brackets provided on page 4. This new version of the W4 will be made available first in UAT and then in Production. Here are the release dates:UAT: Thursday, December 28th, 2023 (end of day) Production: Monday, January 8th, 2024For your convenience, all customizations made on the 2023 Standard W4 will be copied to the new form. This includes your form permissions, form workflows, overrides, and the form location.Please remember that all standard implications of creating a new form version that are related to Onboard checklists, eForms processes, and outstanding forms and form tasks will be respected when we release the new version of the W4.Thank you & Happy Holidays!

Update: Issue Regarding Exporting Forms and Exports to eForms EDMS Resolved

Update: Issue with Duplicated Emails Resolved

Hi all,I want to inform you that the issue reported two days ago regarding duplicated system notifications in Onboard has been resolved. Currently, there are no reports of duplicated email notifications being sent out. Furthermore, the problem appears to have only affected certain clients within a less than 2-hour time frame. Update: Issue Identified with E-Verify: "Cancellation Email" RESOLVED

Hi Onboard Users,The issue regarding the E-Verify incorrectly communication of an account termination through email notifications has now been resolved. USCIS confirmed that they found the cause of the issue on their end and it has since been resolved. News: Issue With Tasks, Video Tasks, and Attachment Tasks Assigned to Employee Groups RESOLVED

Update 2: E-verify Training Enrollments and the New I-9 Form

Hi Onboard users,We have two important announcements to make.1. E-Verify Feature UpdatesEarlier this year, we announced the upcoming changes we will be making to the E-Verify integration in Onboard and in August, we also began offering the online training for E-Verify administrators. To date, there have been over 500+ training registrations! The original expected release date for these changes to the E-Verify integration was October 10th. The new expected release date is now November 13.2. I-9 Form with 2027 Expiration DateOur team can now confirm that the I-9 form with the 2027 expiration date will be available by the end of Q4. We are actively working on some significant changes to form versioning and will roll out the I-9 form at the end of the quarter. Please note that the current I-9 form in Onboard with an expiration date in 2026 is still valid. Per USCIS, "Employers must use the Form I-9 with the edition date of 08/1/23, which may have an expiration date of either 07/31/2026 or

"Promote" Relabelled to "Position Change" in Onboard

Hi all,Everyone knows that Onboard can be used for preboarding, onboarding, and offboarding, but did you know that you can also facilitate position changes in the system? The Promote action, a longstanding feature in Onboard, was recently relabelled to Position Change to reflect its versatility. Use this action to facilitate promotions, demotions, transfers and more.Log into Onboard and navigate to the Employee Details page of an active employee. From here, select the gear icon and then Position Change. From here, simply follow the three-step wizard to facilitate the position change. You will be able to update the position start date, position information, direct manager, and assign new checklists*.We hope you enjoy this minor change. This enhancement will also be covered in our quarterly release notes that will be published in January. Thanks,Onboard Team * At this time, it is not possible to assign the same checklist to a user twice.

ONBOARD UPDATES COMING SOON: New Federal I-9 & Auto-Reassign Updated Form Versions

Hi Onboard users,We have two important updates coming soon to Onboard! Please review the changes below so you can prepare for the release, and reach out to onboard-uat@neogov.com if you have any questions.1. New I-9 with 2027 Expiration Date We appreciate your patience regarding the new version of the Federal Form I-9. As mentioned previously, the new I-9 is the exact same edition date (08/01/23) but USCIS has extended the expiration date to 2027. As a result, there are no changes to any of the fields or content of the I-9 form with the exception of the expiration date. As such, the form will be released to production on Thursday, December 5.2. Form Versioning Improvements We have improved the form versioning behavior in Onboard, which we are excited to showcase with the new Federal Form I-9.What HAS NOT Changed: When you publish a new version of a form in Onboard, the system archives any instances of the previous version that are "in progress" and cancels all “Pending”, “Current” and

News: I-9 Release Postponed Until Monday, Dec 9

Hi Onboard users, We regret to inform you that the planned release of the Federal I-9 form with the 2027 expiration date has been postponed until Monday, Dec 9. A minor issue occurred during our overnight release which prevented our team from proceeding as planned. Rest assured, the issue was related to one of our pre-release procedures and does not impact stability or quality of Monday's release. You can expect the Federal I-9 form with the 2027 expiration date to be published in your accounts the morning of Monday, Dec 9. On the other hand, the form versioning improvement mentioned in our previous post is already in production and ready for you to use.We apologize for the delay. Update Regarding 2025 Canadian TD1 Form

Hi Onboard users,We want our customers based out of Canada to be aware that our team will begin working on the newest version of the Canadian TD1 Personal Tax Credits Return Form. You can expect the 2025 TD1 to be available in production on January 7th, 2025.Regarding the Federal W-4 Form -- the 2025 version of this form has not yet been released to the public. Issue Regarding Document Export Subscription in Onboard

Hello,This notice pertains to agencies using the Document Export Subscription in Onboard. It was brought to our attention that the Document Export Subscription is exporting forms that may have been exported in the past. This is reported to primarily affect forms for terminated employees. This is because when an employee is terminated, the forms that are associated to that employee are archived. Upon investigation, our team found this to be caused by an update we made on Monday morning, which expanded the Document Export logic to check for updates in form status. We apologize for any inconvenience or clean up this issue causes and encourage customers to check the Document Export files dating back to Monday, December 9th. Update Regarding the Federal Form W4

Hi Onboard users,The 2025 version of the Federal Form W4 was published this morning to the IRS website. There seems to be no change to the fields upon initial review, with only minor changes to some description text on page 1. There are also updates to the tax brackets page 4. Please note that employees are not required to complete a new W4 and withholdings should continue based on a valid form previously completed. Special rules apply to employees claiming exemption from withholding on their W4s. If an employee claims exemption from withholding for 2024, they should submit a new W4 by February 15, 2025. Our team will begin working on the newest version of the Federal Form W4. At this time, we do not have a release date scheduled, but will ensure the form is available prior to February 15, 2025 with the goal of releasing it well ahead of that date. We will share more info in the upcoming days once a timeline is finalized.Thank you,Onboard Team

Onboard Winter 2025 Release Postponed by One Day
